Confirmation of Booking

We ask that all bookings are confirmed in writing. To simplify this process please use our printed confirmation form and return it by post or fax Bookings can be confirmed by e-mail but the room will not be guaranteed without the signature and credit card details included on the booking form.

All unconfirmed bookings may be released without notice at any time prior to arrival unless guaranteed with a credit/debit card.

Non-arrival policy

Once a booking is confirmed, the room will automatically be held for the entire first night, allowing for late arrival. If you fail to arrive, the full amount of the first night's accommodation will be charged to your card account, as will all subsequent nights booked if we are unable to relet the room at such short notice (maximum 3 nights)

Cancellation Charge

If it becomes necessary for you to cancel a confirmed booking, the hotel will always endeavour to resell the room to another customer, in which case no charge will be made. If, however you cancel your room less than 48 hours prior to arrival, the hotel reserves the right to charge for the accommodation booked.

All cancellations should be made in writing. You will be given a cancellation number to confirm that the cancellation has been received and to guarantee that no charge will be made.

Advance payment of accommodation

If you wish to pay for accommodation for a friend or relative as a surprise gift we ask that all such payments are made by cheque in advance, allowing sufficient time for the cheque to clear prior to the guests arrival. We will still require the guests to provide a credit / debit card on arrival and to enter their pin number for authorisation, as part of our normal check in procedures but no charges will be made unless extras, damage or losses are incurred.

Check-In Time

Bedrooms will be available from 3.00pm (Monday - Friday) and from 1.30pm (Saturday and Sunday). Should you wish to arrive earlier please advise our Reception who will inform the Housekeeping staff. Every effort will be made to meet early arrival requests.

A credit / debit card is requested from all customers as part of our check in procedure, even if this is not the method that will be used for final payment (ie cash or account). A valid pin number will need to be entered for authorisation. We are unable to complete our check in procedure without a valid card and a pin entry.

Late arrivals

If you plan to arrive at the hotel after midnight, please inform reception. Although our entrance doors are locked at midnight, a night porter is on duty throughout the night. Please ring the door bell which will set off the night porters pager wherever he is in the building.

Departure

Check out time is 10.30am Mon - Sat, 11am Sunday and Bank Holidays. If you wish to check out later than this please confirm this with Reception on arrival. If you wish to store your luggage for a few hours before you actually leave the hotel, we are happy to provide this service but we are unable to accept responsibility for valuables unless they are declared and placed in our safe.

Safe Deposit Boxes

We are currently installing safe deposit boxes in our bedrooms. If your room does not yet have a safe deposit box, there are additional boxes next to reception that can be operated using your electronic room card. No charge is made for the use of these boxes. Please note, however, that we are unable to accept liability for valuables left within these boxes. If you would like us to put your valuables in our safe or deposit them at the bank please discuss this with our reception staff.

Car Parking

There is a car park for guests use behind the hotel. We do not charge for parking for the duration of your stay but to control unauthorised use and to avoid your car being clamped we ask all guests to give vehicle registration numbers at check in. If you have any further business in Cambridge after you have checked out, we would be grateful if you could vacate the car park for the benefit of our arriving guests, or make arrangements with reception for extending parking. There is a parking fee of £50.00 levied on all unauthorised vehicles.

Smoking within the Hotel

As a result of recent government reports on the much higher than previously believed health risks from passive smoking and our concern for the health, safety and welfare of the majority of our staff and customers who do not smoke the entire interior of the hotel is now non-smoking. For resident guests, smoking in any bedrooms or bedroom corridors will adhere to our bedroom non smoking policy will result in one additional nights accommodation charge being added to your bill together with the cost of cleaning all soft furnishing to remove the odour of tobacco.

Dogs

We regret that we do not allow dogs or any other pets on the premises apart from guide dogs.

Security

For security of all our guests we are very proud to have installed the very first Legic proximity electronic door locking system in the UK. To provide even greater security for guest bedrooms we have restricted access to bedroom corridors to resident guests and staff only. The card used to open your electronic bedroom door lock can also be used to charge food or drinks to your room account.

Please ensure that you keep this card with you at all times. If somehow you lose your card, please ensure that you report this immediately to Reception as you will be liable for all goods and services charged to your room account by anyone else using your card, up until the moment it is reported missing.

The interior and exterior of the hotel is also monitored by CCTV cameras.

Restaurant

As our restaurant is very popular we recommend that you reserve a table when making your accommodation booking if you wish to dine in the hotel. Copies of all our menus are included in the bedroom information folder. No charge is made if you decide to cancel your booking, although as we have a reputation for offering some of the best food in the area, at very modest prices, we will be surprised if you wish to.

In addition to our restaurant, we also have an all day Conservatory brasserie serving snacks, cooked dishes, cream teas etc from 9:30am until 10:00pm. We do not take reservations for the Conservatory as the tables are allocated, subject to availability, on arrival.
